AOECS Licensing Operations Coordinator (PART-TIME)
The Association of European Coeliac Societies (AOECS) is the umbrella organisation of the European national coeliac societies with currently 38 full members societies across Europe and four affiliate members from outside Europe. It represents its members' voice to protect people affected by coeliac disease or dermatitis herpetiformis (DH) and seeks to collaborate with international coeliac organisations and other relevant stakeholders worldwide.
AOECS operates a European food safety scheme with gluten-free brands. As part of the “Gluten Free Alliance” participating AOECS member societies are able to offer a national license for the world-recognised “crossed grain trademark” (CGT) that indicates a production site and relevant products have been verified against the AOECS Standard for Gluten-Free Foods or equivalent.
This ensures that products bearing the CGT are gluten-free and safe for people with coeliac disease and related conditions. This role is to provide support and advice for the effective operation of the AOECS licensing scheme.

About the position
Reports to: AOECS Secretary General
Based at: Home Office
Hours: up to 15hrs per week – days/times to be agreed
Remuneration: up to 18k Euros /annum
Status: Freelance
The role
• Contact point for companies interested in being audited against the AOECS Standard
and becoming Gluten-Free Crossed Grain Trademark Licence holders.
• Helpdesk for AOECS Member societies implementing the AOECS European Licensing
System (ELS) in accordance with all licensing requirements.
• Monitor AOECS members’ compliance with ELS responsibilities and obligations,
including effective monitoring of misuse of CGT in their territory.
Key Responsibilities
• Track and monitor that AOECS member societies comply with their ELS responsibilities
and obligations and report to the AOECS Board
• Responding appropriately to licensing inquiries from AOECS Member societies, other Coeliac organisations, and commercial entities
• Working with the Secretary-General and the rest of the team to research and implement new
initiatives to generate efficiency and income growth
• Providing technical expertise around the certification scheme both internally and externally to support its implementation and development.
• Managing and maintaining accurate data about licensing activity and developing relevant reports and infographics with trends & statistics.
• Support AOECS member societies in protecting the Crossed Grain Trademark from being misused.
Knowledge / Job Specific Competencies
• Minimum 3 years professional experience in a relevant service-oriented position,
particularly experienced in multi-stakeholder organizations (essential)
• Experience with customer service, account management, or business development (essential)
• Excellent communication skills, written and verbal (essential)
• Excellent interpersonal skills and service-oriented thinking, and the ability to work well with all levels of internal and external stakeholders (essential)
• Project and data management experience (essential)
• Highly competent with Microsoft Excel (essential)
• Excellent attention to detail and administrative skills (essential)
• Good presentation skills (desirable)
• Knowledge and experience in the standard-setting process, certification and licensing (desirable)
Professional Skill Requirements
• Comfortable with web-based information platforms and data management
• Languages:
- Fluency in English (essential)
- Other languages desirable, particularly Spanish and/or French
